Documents section works through a simple three-step pipeline: you drop documents, Qonto automatically detects their type and files them, and anything it couldn't sort lands in a short list for you to handle quickly.
This feature is available on all Qonto plans to all users on 💻 web, via the Documents item in the main navigation.
How do I upload documents to my Documents section?
Go to your Documents section from several entry points. Qonto processes all of them through the same pipeline:
- Direct upload: Go to Documents in the main navigation and drag and drop your files or click to upload. You can drop up to 20 files at once with a maximum size of 15 MB per file.
- Homepage shortcut (on mobile): Use the shortcut available directly from your Qonto app.
- Email forwarding: Forward documents to your dedicated Qonto email address.
There is no limit on document type at the upload stage. Invoices, receipts, contracts, payslips, and more are all accepted.
Once uploaded, Qonto takes over in the background: it detects the document type, classifies it, extracts key information, and files it automatically. You only need to step in for documents it couldn't place on its own.
Where can I see what happened to my documents?
The Recent tab of your Documents section gives you a full picture of every document that came in, whatever entry point it used.
For each document, you can see:
- Where it was automatically filed (e.g. matched to a transaction, sent to Supplier Invoices, or stored in your accounting archive)
- Whether it still requires an action from you
Documents that were successfully matched or filed are off your plate and marked as done. Documents that need your input appear in a dedicated Action required list. This is where you focus your attention.
How do I sort documents that Qonto couldn't file automatically?
When Qonto cannot automatically determine what to do with a document, it appears in your Action required list with a suggested next action.
Depending on the document, you may be asked to:
- Confirm the document type: if Qonto detected it partially or not at all, select the correct type from the list shown.
- Choose a destination: for documents like invoices or credit notes where the routing is unclear (e.g. supplier vs. client side), pick where it should go.
- Match to a transaction: for invoices, receipts, payslips, and credit notes that couldn't be matched automatically, select the correct transaction from the ranked candidates shown. The amount is pre-filled from extraction and can be edited before you confirm.
The flow is designed around the question "What do you want to do with this?" rather than asking you to classify documents yourself. Qonto does the heavy lifting wherever it can.
What document types can I file for storage?
Qonto supports a wide range of accounting and administrative document types in your Company records tab. Depending on the type, filing is either automatic or requires a quick manual step from you.
Accepted formats are PDF, JPG, and PNG, with a maximum file size of 15 MB.
Automatically classified and filed. No action needed:
- Supplier invoices, client invoices, and credit notes
- Receipts
Supported but requires you to confirm the type manually:
- Payslips, account statements, and RIBs
- Lease agreements and loan agreements
- Commercial contracts and payment schedules
- URSSAF certificates, tax notices, and tax return packages
- Annual accounts
- VAT return receipts and VAT payment receipts
- Any document you categorize as "Other"
When manual input is needed, Qonto will prompt you in the Action required list to select the correct document type. It then files it automatically from there.
☝️ For accounting documents (statements, contracts, certificates, etc.), you can update the document type at any time. For financial documents (invoices, receipts, credit notes, etc.), you can change the type up until the document is matched to a transaction. Once matched, the type is locked.
How do I find an accounting document I filed earlier?
The Company records area of your Documents Home is where all your official company document ( accounting, fiscal, financial, administrative…) are kept and can be retrieved at any time by you, your accountant, or when needed for a tax filing.
To find a document, go to Documents in the main navigation and browse the Company records section. You can filter by document type to narrow your search.
Your internal accountant also has access to the accounting documents stored here.
