How do bulk invoice payments work?

  • Updated

Bulk invoice payments enable you to select and process multiple supplier invoices simultaneously from the Supplier Invoices section. Instead of handling each invoice individually, you can select several unpaid invoices, review all payment details in a consolidated view, and execute all payments through one streamlined workflow.

Save time, especially at month-end, by paying many invoices in a single workflow instead of entering the details for each one. Everything is handled directly in Qonto, with no external CSV or XML files, so you can keep up with growing invoice volumes without slowing down.

This feature is available for Owner and Admin roles, and Manager role with Make transfers permission on Team plans, on web 💻 and mobile 📱

How does bulk invoice payment work?

Step-by-step process:

  1. Access your Supplier Invoices section:
    • From the web app 💻:
      • Owners, Admins and Managers: go to Accounts payable > Supplier invoices
    • From the mobile app 📱: tap Menu, then select Invoices > Supplier invoices
  2. Select invoices:
    • Check the boxes next to unpaid invoices you want to pay
    • You can select invoices from different suppliers
  3. Initiate bulk payment:
    • Click the Pay button that appears in the bottom
    • [if applicable] review the non-payable invoices to continue with payment (non-payable invoices include invoices with missing information, pending approval, not in SEPA zone)
  4. Validate payment details:
    • Review the consolidated payment summary (supplier names and amounts)
      • [only on desktop app] edit the reference, amount or supplier information, notify beneficiary by email, add attachments
    • Select the account from which you want to make the payment
  5. [only on desktop app] payment method:
    • Select SEPA transfer, instant transfer, or scheduled transfer
    • Set execution date for scheduled payments
  6. Execute payments:
    • Confirm and process all payments in one action with one mobile confirmation

What happens after I confirm?

  • Paid invoices move to the Completed tab, and each transaction appears in your Transactions history
  • Scheduled payments move to Scheduled payments, or stay in Inbox until they’re fully paid. They then move to Completed
  • Each invoice stays linked to its transactions

Limitations and considerations:

  • All the invoices in a batch must use the same payment method. You can’t mix instant and scheduled transfers
  • Make sure your account balance covers the whole batch
  • Your approval workflows also apply to bulk payments (available under the Team Spend Controls add-on)
  • Transfer limits apply too. If a payment exceeds them, the transfer can’t be made and becomes a payment request instead
  • If an invoice is partially paid, bulk payment uses the remaining amount, not the invoice total
  • Bulk payments don’t support card payments or direct debits
