How do I pay multiple supplier invoices at once?

  • Updated

Pay several supplier invoices in a single workflow directly from the Supplier Invoices section 🚀. No external CSV or XML files required. Select the invoices you want to pay, review all payment details in one consolidated view, and confirm everything in a single action.

This feature is available for Owner and Admin, and Manager roles (with Make transfers permission) on Team plans, on 💻 web and 📱 mobile.

How do I process a bulk invoice payment?

  1. Access your Supplier Invoices section:
    • 💻 Web: Go to Accounts payable Supplier invoices
    • 📱 Mobile: Tap Menu, then select Invoices Supplier invoices
  2. Select invoices: Check the boxes next to the unpaid invoices you want to pay. You can select invoices from different suppliers.
  3. Initiate bulk payment: Click the Pay button that appears at the bottom of the screen. If some invoices cannot be processed (missing information, pending approval, or outside the SEPA zone), review them before continuing.
  4. Review payment details: Check the consolidated summary showing supplier names and amounts, then select the account from which you want to make the payment.
☝️ On 💻 web only, you can also edit the reference, amount, or supplier information, notify the beneficiary by email, and add attachments.
  5. Choose a payment method (💻 web only): Select SEPA transfer, instant transfer, or scheduled transfer, and set an execution date for scheduled payments.
  6. Confirm and execute: Process all payments in one action with a single mobile confirmation.

What happens after I confirm my payments?

Once confirmed, each payment is processed and linked to its corresponding invoice:

  • Instant and SEPA payments move to the Completed tab, and each transaction appears in your Transactions history
  • Scheduled payments appear under Scheduled payments, or remain in Inbox until fully paid — then move to Completed
  • Each invoice stays linked to its related transaction for full traceability

What are the limitations I should know about?

Keep the following in mind before processing a bulk payment:

  • All invoices in a batch must use the same payment method — you cannot mix instant and scheduled transfers
  • Make sure your account balance covers the total amount of the entire batch
  • Approval workflows also apply to bulk payments (available under the Team Spend Controls add-on)  learn more
  • Transfer limits apply: if a payment exceeds them, the transfer cannot be made and becomes a payment request instead
  • For partially paid invoices, bulk payment uses the remaining amount, not the invoice total
  • Bulk payments do not support card payments or direct debits
